SGA is consolidating paid media for 17 Advanced Care practices onto a single 829 Studios team and a single SGA-owned GoHighLevel instance. The obstacle is ownership: today the media, CRM, and reporting for most of these practices live inside account structures the incumbent agencies control, not SGA. Before 829 can manage anything, those structures have to be rebuilt on SGA's own GoHighLevel, and the ad accounts SGA does not have access to must be recreated. Wave 1 is already moving: Innovative Dental, Troy Family Dental, and Ressler Dental are in flight with 829 today.

The core problem: who owns the account structure

Every practice must land on SGA's GoHighLevel instance. The work splits three ways by how the current setup is owned:

10 of the 17 sit on structures SGA does not own: Wonderist GoHighLevel (4), Grow Dental GoHighLevel (New Horizons plus the Peak implant side x3), OM Marketing / Trackable (Peak general x3, Dakota Dental), and RiseDDS (1). SGA has no ownership of those sub-accounts, workflows, or reporting. The 7 fresh builds have no CRM today; 3 of them are already in flight with 829.

Two migration axes 829 needs to plan around

Axis 1 · Google Ads account access

  • Primary Owner / Full control (5): Peak x3, Dakota Dental, Pryor. SGA owns the ad account, so 829 just takes over management. Fastest.
  • No Access (7): the Wonderist, RiseDDS, and Prospecta accounts. The agency owns the ad account, so it must be recreated from scratch, including history and conversion tracking.
  • Partial (1): Ressler, doctor-managed. Needs a clean rebuild under SGA.

Axis 2 · CRM, automation & ROI ownership

  • Agency GoHighLevel (8): the number says "GoHighLevel," but it is the agency's sub-account (Wonderist x4, Grow Dental x1, and the Peak implant side x3). Workflows, pipelines, and reporting have to be rebuilt in SGA's instance.
  • Trackable (later phase): OM Marketing's platform for Dakota Dental and Peak's general side. SGA owns those ad accounts, so it is a reporting and CRM cutover, not a full rebuild.
  • RiseDDS (1): agency all-in-one (Pony Express). Everything is locked together and must be reconstructed.
  • No CRM (7): greenfield. Stand up SGA GoHighLevel new; Innovative, Troy, and Ressler are already in flight with 829.

What 829 needs from SGA to start Wave 1

Confirm before building

  • Innovative Dental, Troy Family Dental: in flight with 829, but no tech stack documented in this sheet. Capture the current setup for the record.
  • Peak (all three): the general side (OM Marketing + Trackable) and implant side (Grow Dental + GoHighLevel) are separate. The plan starts with the implant side. Spend is GP + Implant combined, and the implant-side Google Ads account ownership is not on the sheet; confirm before the implant cutover.
  • Southern Oak - Conway: the GBP link and logo file on this row reference "Smile Gulf Coast." Verify the correct assets before onboarding.
  • Ressler Dental: in flight with 829. Google Ads is doctor-managed with only partial access and no defined agency budget; confirm spend and rebuild the account under SGA.
  • Smile Gulf Coast: minimal stack recorded (no CRM, hosting, or analytics detail). Confirm current state.
  • Wagner Dental (Las Vegas, NV): removed from the active list. Just launched with a new agency before the SGA handoff; revisit only if SGA decides to run implants there.

A proposed 16-week rollout anchored to a kickoff week of July 13, 2026. Waves follow the stage sequence already in the workbook. Bar length reflects migration complexity, and staggered starts keep no more than a handful of practices in active cutover at once. Wave 1 (Innovative Dental, Troy Family Dental, Ressler Dental) is already in flight with 829.

Why this ordering matters for sequencing

  • PCCD Los Altos ($13K/mo) and PCCD Mountain View ($7K/mo) alone are 34% of all spend, both locked in Wonderist GoHighLevel with No Access on Google. They are the highest-risk rebuilds and lead Wave 2.
  • Peak (all three) start with the implant side (Grow Dental + GoHighLevel) rebuilt on SGA GHL; the OM Marketing + Trackable general side follows. SGA owns the general Google account, which de-risks that later phase.
  • Dakota Dental ($5K/mo) is a fast Trackable win: SGA already owns the Google account, so it is a reporting and CRM cutover, not a rebuild.
  • The greenfield builds carry little or no current spend, so they slot into later waves without revenue exposure. Three of them (Innovative, Troy, Ressler) are already in flight with 829.
